Pursuing Methods of Improvement for Archives through Collaborative Interface
The expansion of postmodernism and information revolution brought a change in paradigm in the fields of archival science and records management. The most noticeable change is the focus on 'use' of records. With the increase of social interest on private records management and digital archives increase, studies on record use have also increase significantly. Early studies on record use focused mainly on providing efficient functionality to users. Strengthening search functions so that users can search records more quickly is a key example. In connection with search functions, the subjects of record arrangement and record description also received recognition. However, with the rise of social interest and the increase in archival facilities in various fields, the study of record use has expanded in scope and depth. Such changes show a shift from a functional perspective toward a conceptual perspective in trying to redefine and understand the meaning of records. It is an attempt to redefine records as not a physical but conceptual constructs. The changes are quite evident in record exhibitions of various perspectives, in the manufacturing of record contents, and various outreach programs. However, despite the effort toward change, there is a significant lack of studies that explore new perspectives implementing a systematic theory and working in cooperation with other scholarly institutions. That is, archivists are still insistent that the role of the archivist is to preserve and manage records. Further, the focus of record use methodology still remains on archivists and records itself. Accordingly, there are many studies on the use of records but the studies are rather limited. The present thesis attempts to perceive the problems faced by previous studies and to introduce new perspectives. The present thesis introduces four perspectives to seek a more developed methodology in finding a new role and use of archiving which meets the demands of the times. Firstly, the present thesis focused on the common ground and communication aspect between archives (place) and users (subject), and applies each to the times and circumstances to project as an interface. Through the projection, the main role and meaning of archives based on the circumstances of the times have been analogized. Further, the change in user perspective on records is also noticeable. Through this process, the present thesis takes a closer approach toward the role and value of contemporary archives Secondly, the present thesis attempts a multi-aspect approach from an interdisciplinary perspective. The postmodernism theory, Michel Foucault's concepts of episteme, and Peirce and Saussure's concept of semiotics have been introduced to archival science. The multi-aspect approach towards records is an attempt to change recognition of records from a physical entity to a conceptual construct. Records do not indicate a fixed meaning but an endless inclusion of new meaning in a social context. Records have been described as a conceptual construct by substituting records and documentation with sign and semiosis. Records as a conceptual construct provides a fresh perspective in the study of archival science and offers an opportunity to examine the new role and identity of archives in greater detail. Thirdly, the present thesis attempts to approach records use in terms of people and not records (paper). This approach is closely related toward the attempts of viewing records as conceptual constructs and that the key element of the conceptual constructs is 'people'. It is noteworthy that the scope of 'people' in this case includes users, outside collaborators, archivists, and various people in connection with archives. Previously, the scope was mainly limited to archivists and later to users without discussing in depth of the others in connection to the archives. The people based perspective is discussed in greater detail by considering the role of archives in the public sphere and analyzing the case study of the learning and participation program of Asia Art Archive. Lastly, the suggested three perspectives have been analyzed to provide a new direction of contemporary archives. The present thesis defines the new direction as a 'collaborative interface.' Further, the thesis suggests four requisites to design the collaborative interface. The four requisites involve operating an archival multilateral collaborative system, a diversification of education of archivists, a multi-aspect approach of records and its use, and lastly the development of programs such as AAA's learning & participation program to strengthen the continuity and advancement in collaborative interface. In addition, the present thesis reexamines the meaning and value of contemporary archives and discusses the new identity of archives.
